Adding videos and terms of use
You can add video content to Kaltura in several ways, depending on whether you are uploading your own video file, adding a video published on YouTube, or publishing a video that is already in Kaltura to a channel.
In most cases, content is uploaded to the service from your computer. However, Kaltura also allows you to add public YouTube videos to your personal media library (My Media). Once a video has been added to Kaltura, it is stored in your personal media library and can later be published, for example, to a channel. This page provides an overview of the main ways to add videos to Kaltura.
When uploading a video, the user must accept the service’s terms of use:
Terms of use
- I have the consent of the persons appearing in the recording to record and publish the video.
- The recording and the materials included in it, such as videos and images, do not infringe copyrights or other protected rights.
- The recording complies with applicable laws and accepted standards of conduct.
- The service may be used for activities that support the operations of universities of applied sciences. It may not be used, for example, for political or personal purposes.
- The administrator reserves the right to remove recordings.
- The administrator is not responsible for content published by the creator of the recording.
Uploading a video to Kaltura
Uploading a video is the most common way to add your own media content to Kaltura. To add media, select + Add New from the top menu and then Media Upload. After accepting the service’s terms of use, you can drag a file into the upload window or select a file from your computer.
During the upload, you can add metadata such as a name and description. Once saved, the content will be available in your personal media library (My Media).

Editing video metadata during upload
- Name
- Give the video a clear and descriptive name. This field is required. A good name tells the viewer what the video is about, for example Project work instructions, part 1 or Cellular respiration: introduction.
- Description
- Add a short description of the video’s content, purpose or target audience. The description helps viewers understand the content and makes the video easier to find. You can also add links to supplementary materials. A video cannot be published to a channel or category if the Description field is empty.
- Tags
- Add a few relevant keywords that describe the content. Kaltura search uses tags, so they make the video easier to find later. Useful tags may describe the topic, course, theme or purpose, such as anatomy, laboratory instructions or orientation.
- License
- Select a license for the video. A video cannot be published to a channel or category if the License field is empty. For open educational resources, HAMK recommends selecting an appropriate CC BY-SA license from the drop-down menu. The license tells viewers how the content may be used, shared and adapted.
- Publishing Schedule
- This setting determines when the video is available after publication. Always means that the video is available immediately after it has been published. Specific Time Frame is useful when the video should only be visible during a certain period, for example during a specific course implementation.
- Co-Editors and Co-Publishers
- You can use this feature to give other HAMK users permission to work with the video by selecting + Add Collaborators. Another HAMK user can be assigned the co-editor, co-publisher or co-viewer role.
Managing and editing a video with other users (roles)
HAMK users can be granted collaboration permissions, or roles, for both published and unpublished Kaltura videos. These roles are useful, for example, when a video is produced collaboratively or when publishing and maintenance responsibilities need to be shared between several people.
The roles in brief:
- Co-editor (includes the Co-publisher and Co-viewer roles)
- can edit metadata, add or edit captions, and edit the video.
- Co-publisher (includes the Co-viewer role)
- can publish the video.
- Co-viewer
- can view the video even if it has not been published in a category or channel.
The Co-editor role provides the most extensive permissions and therefore also includes the Co-publisher and Co-viewer permissions. You only need to assign one role to a user. When any of these roles is assigned to a user, the media item will also appear in that user’s My Media library.

Adding a YouTube video to Kaltura
You can also add a YouTube video to Kaltura without first downloading the video file to your computer. Select + Add New from the Kaltura top menu and then YouTube, where you can paste the link to the YouTube video.
Kaltura automatically retrieves the video’s metadata from YouTube. You can then supplement or edit the information before saving the video. A YouTube video can only be republished through Kaltura if the video is publicly available on YouTube.
Use this tool when you want to:
- use a public YouTube video in teaching or communications as part of a Kaltura content collection
- collect content from different sources in the same environment
- manage YouTube videos through your own Kaltura media library.
YouTube viewing analytics are not transferred to Kaltura. However, views that take place through Kaltura generate viewing analytics in Kaltura in the same way as other Kaltura videos.
Publishing a video to a channel
Publishing a video to a Channel means making a video that is already in Kaltura visible in a selected channel. A video can be added to a channel in several ways: from the channel itself, from the video’s own page, or from the My Media list, where several videos can also be selected and published at the same time.
Content can be added to a channel by channel owners, Managers and Contributors.
Add videos to a channel when you want to:
- share a video with a specific group or as part of a public collection of content
- collect videos on the same topic into a logical shared collection
- make a video uploaded to Kaltura available to a wider audience.
