General information about access and publishing rights

In Kaltura, the visibility of a video is determined by both its publishing settings and the publishing environment. At HAMK, Kaltura videos can be published in two different environments:

• Kaltura Media Space (KMS) at https://kaltura.hamk.fi
• the Learn-Moodle learning environment (LMS) at https://learn.hamk.fi

Both publishing environments, KMS and LMS, use the same personal My Media library. This means that when you upload a video to your My Media library in the LMS environment, for example, the same video will also appear in your My Media library in KMS.

The same media item can be published simultaneously to different target groups in both environments. This means that you do not need to create separate copies of a video for different audiences. Any changes made to the video, such as updated captions, will also be visible everywhere the video has been published.

In addition to publishing settings and the publishing environment, video visibility and editing rights are affected by user permissions. The owner of a video or channel can grant permissions to HAMK staff and students in two main ways:

• User-specific permissions for viewing, publishing or collaborative editing in KMS and LMS:
  • Co-viewer, Co-publisher, Co-editor
• Context-specific roles in the KMS environment for working with videos in channels and categories:
  • Member, Contributor, Moderator, Manager

Publishing in the KMS environment (kaltura.hamk.fi)

In the KMS environment (https://kaltura.hamk.fi), a video uploaded to Kaltura can have three publishing states that determine its visibility:

• Private
• Unlisted
• Published
  • in category
  • in channel

A video set to Private is completely private. Its direct link can only be opened by the owner while signed in to Kaltura.

An Unlisted video is hidden from search, but anyone who has been given the direct link to the video can view it.

When a video is set to Published, you can choose whether to publish it in categories or channels. Categories are the themed sections shown in the top navigation of the KMS environment and cannot be modified by individual users. Channels can either be created by users themselves or be channels in which the user has publishing rights.

A video set to Published can be published simultaneously in several categories and channels. The visibility settings of each channel or category determine who can view the video. The video owner cannot override these visibility settings for an individual video.

Roles in channels and galleries – KMS environment

The roles in brief:

• Member
  • can view the content in the channel
• Contributor
  • can add content to the channel
• Moderator
  • can review and approve or reject content before it is published in the channel
• Manager
  • can manage the channel’s settings, appearance, users and content more extensively

Each higher-level role includes the permissions of the roles below it. For example, a Moderator can also add content to the channel in addition to reviewing and approving content.

Publishing in the LMS environment (Learn-Moodle)

In the LMS environment (https://learn.hamk.fi), there are no channels or separate galleries like those used in KMS. Instead, each Moodle workspace has its own shared video library called Media Gallery, as well as the personal My Media library, which works in the same way as in the KMS environment.

• Private
• Published
  • in the workspace Media Gallery
  • as a separate resource using Kaltura Video Resource
  • embedded as part of a resource or activity using the Kaltura button in the text editor

In Moodle’s My Media library, a video remains private until it is published to a workspace Media Gallery or added as part of the workspace content.

The LMS environment does not use the Unlisted status available in KMS. In Moodle, the visibility of media content must always be determined in a way that works together with Moodle’s resource and activity visibility restrictions and the access rights of workspace participants. Therefore, a video that you have set to Unlisted in KMS will still appear as Private in the LMS environment.

The Media Gallery is the shared video library of a Moodle workspace. Videos published there are visible to the users of the workspace even if the videos have not been added separately as resources or embedded in another resource or activity.

The same logic also works the other way around: if you add a video to the workspace as a resource, it will not automatically appear in the workspace Media Gallery.

If necessary, you can publish a video you own from My Media to the Media Galleries of several workspaces at the same time, provided that you have editing permissions in those workspaces.
