    1. Assess your current work situation

    • List your work tasks over the course of a week.
    • Consider which tasks:
      • Are frequently repeated (routines)
      • Are time-consuming
      • Require a lot of information or research
      • Feel boring, difficult, or inefficient

Example: “I write a lot of similar emails to customers” → You could use AI to create message templates.

    2. Identify tasks where AI could help

AI is especially useful for tasks related to:

    • Creating or editing text
    • Searching for or summarizing information
    • Creating images or presentation slides
    • Managing time or projects (e.g., task suggestions, scheduling)
    • Brainstorming and supporting decision-making

Example: If you create a lot of presentations, you could use AI to help draft PowerPoint content.

    3. Ask for feedback and track your time usage

    • Ask a colleague, supervisor, or your team:
“Where do you think I could work more efficiently?”
    • Track how you spend your working time for a week – many are surprised how much time goes into recurring small tasks.
    • You can use a time-tracking app or create a simple spreadsheet.

    4. Try small AI solutions and learn gradually

    • Try tools like Copilot, ChatGPT, or Google Gemini for small tasks (e.g., proofreading, brainstorming ideas).
    • The most important thing is to start small rather than trying to automate your entire job at once.
    • Document what you tried and how well it worked – this is where learning begins.

    5. Create a personal development plan

Once you’ve identified what could be improved and how AI could help:

    • Choose 1–2 concrete areas where you’ll start experimenting with AI
    • Set a goal: e.g., “I want to save 2 hours per week by automating reporting.”
    • Track your progress and evaluate the benefits
      • The purpose of artificial intelligence is to enhance your expert work, not replace it.

Development Plan: Mapping the Potential Benefits of AI in Your Work

This table helps you organize your work and identify where AI could support, speed up, or simplify your daily tasks. By reviewing your tasks, how often they occur, and how much time they take, you can pinpoint concrete areas for development and generate ideas for initial AI experiments.

    With this table, you can:

    • List your core work tasks
    • Evaluate the potential benefits of AI for each task
    • Identify your strengths and development areas
    • Plan and track your AI experiments

Start by filling in your weekly tasks, then move on to the evaluation. Small experiments can lead to big improvements!

AI competence assessment rubric for self-assessment of one’s own work

Assessment target 1 (poor) 2 (satisfactory) 3 (good) 4 (very good) 5 (excellent)
Purposeful use of AI I use AI occasionally without a clear purpose. I use AI in individual tasks with guidance. I use AI purposefully to support my tasks. I choose situations for using AI with clear justification. I integrate AI systematically into my working process.
Critical evaluation of AI outputs I accept AI-generated content as such. I identify obvious errors in AI-generated content. I evaluate the accuracy of AI-generated outputs. I compare AI-generated alternatives critically. I justify my choices by analyzing the reliability and suitability of AI outputs.
AI as support for the work process I use AI only in individual phases of my work. I use AI for information search. I use AI in analysis or planning. I integrate AI into several phases of my work. I use AI throughout the entire development or work process.
Ethical AI competence I do not take ethical issues related to AI use into account. I recognize ethical challenges related to AI use. I take data protection, responsibility, and good practice into account. I assess the effects of AI on my work, on other people, and on the final outcome. I consciously apply ethical principles in the design and implementation of my solutions.
Documentation of AI use I do not describe my use of AI in my work. I describe my use of AI superficially. I document the tools I use and how I use them. I justify why I use AI in different situations. I document and evaluate the impact of AI on my work and on the final outcome comprehensively.
Collaborative AI competence I do not use AI to support collaboration. I share AI-generated outputs with others. I use AI in teamwork and collaborative work. I develop solutions together with others using AI as support. I use AI purposefully to support shared ideation, development, and decision-making.
